Cold-chain shipping notes for dispatch planning and parcel receipt.

Cold-chain workflows are only as strong as their weakest handoff. This page focuses on dispatch timing, packaging notes, receipt checks, and escalation triggers when a parcel arrives outside expectations.

Dispatch windows

Shipment timing matters. Dispatching earlier in the week, avoiding known holiday bottlenecks, and limiting long weekend dwell time can reduce unnecessary temperature exposure during transit.

Packaging notes

Insulated packaging, cold packs, and inner lot separation are operational controls, not guarantees. Teams should still record transit duration and package condition on receipt.

Receipt checks

On arrival, note outer damage, moisture, internal temperature condition where possible, and whether all items match the dispatch documentation and lot list.

Take photos early. If anything looks wrong, capture the parcel condition before repacking or discarding materials.
Match the paperwork. Cross-check shipping notes against lot numbers, COAs, and internal receipt logs.

Issue escalation

When temperature concerns, missing items, or damaged internals are identified, quarantine the batch, log the event, and escalate with supporting photos and shipment references. Avoid informal release decisions.
